MEMBERSHIP BILLING, REFUND AND CANCELLATION POLICY

MEMBERSHIP BILLING

This Policy explains how billing works for your membership or services with 1-Mind. By subscribing or making a purchase, you agree to the terms set out below.

1. Pricing & Currency

  • All prices are listed in GBP (£) unless otherwise stated.
  • 1-Mind is not a VAT registered company and therefore VAT has not been applied to your billing.
  • We reserve the right to change our pricing at any time. If pricing changes,  we will notify you in advance and give you the opportunity to cancel before the next billing cycle.

2. Payment Provider

We use Stripe as our secure payment processor. Stripe accepts major credit and debit cards. Your payment details are encrypted and securely stored by Stripe, not by 1-Mind.

You can view Stripe’s privacy and security policy here: https://stripe.com/gb/privacy

3. Billing Frequency

  • Memberships are billed monthly on a recurring basis.
  • Your billing date is based on the date you subscribed. For example, if you      joined on the 10th of a month, you will be charged on the 10th of each      following month.
  • Memberships have a minimum 3-month commitment, after which they continue on a rolling monthly basis until cancelled.
  • If you choose to cancel your membership before the end of this initial 3-month period, you will still be liable for the full 3-month membership fee, regardless of usage.
  • Cancellations require 30 days' notice (see Refund & Cancellation Section      for details).

4. Late or Failed Payments

If a payment fails (e.g. due to insufficient funds, expired card, or declined transaction):

  • Stripe will attempt to reprocess the payment up to 3 times.
  • If the payment is not successfully processed within 7 days, your access to      services may be suspended. Suspension of your account does not constitute a cancellation. Your billing obligation continues unless formal cancellation notice is received.
  • You will be notified by email and given the opportunity to update your payment information.

5. Updating Billing Information

You are responsible for ensuring that your billing details (e.g. card number, expiry date, billing address) are accurate and up to date.

  • For issues with billing, please reach out to your appointed Consultant at      1-Mind.

6. Upgrading / Downgrading Memberships:

Members may request to upgrade or downgrade their membership tier by providing a minimum of 30 days’ written notice. All changes will take effect at the end of the current billing cycle following the notice period, subject to availability and eligibility criteria.

7. Refunds

Refunds are only available:

  • Within the 14-day cooling-off period from your initial sign-up (if you have not used the service); or
  • In exceptional  circumstances at our discretion (see Refund & Cancellation     Section for details)

8. Invoices and Receipts

  • You will receive an automated email confirmation and receipt for each      successful payment via Stripe.

9. Disputed Charges

If you believe you have been incorrectly charged:

  • Contact us your appointed Consultant within 14 days of the transaction.
  • We will investigate and respond within 5 business days.

Unfounded chargebacks may result in account suspension. Suspension of your account does not constitute a cancellation. Your billing obligation continues unless formal cancellation notice is received.

10. Termination for Non-Payment

1-Mind reserves the right to suspend or terminate access to paid services for accounts that remain unpaid after repeated attempts to collect payment.

Access will only be reinstated once payment is received in full.

REFUNDS AND CANCELLATIONS

1. Cooling-Off Period (14-Day Right to Cancel)

Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have the right to cancel your membership purchase within 14 days of the date of purchase without giving any reason.

  • If you cancel within this cooling-off period and have not used any part of      the service, you are entitled to a full refund.
  • If you have accessed or used part of the service (e.g. attended 121 coaching      sessions or an arranged event), we may deduct a proportionate amount from      your refund to reflect usage.
  • We do not provide refunds for dissatisfaction with outcomes, as results can      vary depending on individual engagement and preferences.

To exercise your cooling-off right, please email your appointed Consultant with clear notice of cancellation.

2. Minimum Commitment Period

All paid memberships are subject to a minimum commitment period of three (3) full months from the start date of your subscription.

  • During this period, cancellations may be requested but will not take effect until      the minimum term ends.
  • Full membership fees for the 3-month term are due even if you choose not to use the service, unless cancelled within the Cooling-Off Period,

3. Ongoing Subscriptions and 30-Day Notice

After the initial 3-month period, your membership will automatically continue on a rolling monthly basis unless cancelled.

You may cancel your membership at any time after the minimum term, provided that:

  • You give 30 days’ notice of cancellation.
  • Your membership and payments will remain active during the 30-day notice period.
  • You will retain access to all features until the end of your final billing period.

Example: If you give notice on 5th June, your final billing cycle will end on 5th July, and your access will continue until then.

4. How to Cancel

To cancel your membership:

  • Email your appointed Consultant with your full name, email, and request to cancel.

You will receive a confirmation email once your cancellation has been processed.

5. Membership Reactivation Policy
If you rejoin within 60 days of cancellation, the original 3-month minimum may still apply. New signups after 60 days will begin a new minimum term.

6. Exceptional Circumstances

In rare and exceptional circumstances (e.g. serious illness or bereavement), we may consider early cancellation or pro-rata refunds at our discretion. Please email us with details if applicable.

7. Changes to This Policy

We reserve the right to update this Policy. Any changes will be posted to our website with an updated effective date. Continued use of our services indicates your acceptance of the updated terms.
